Privacy Policy

This policy explains how SchoolWheels AI (operated by Qeotek) collects, uses, stores, and shares personal data when you use our website, mobile apps (Android & iOS), and school management platform.

1. Who we are

SchoolWheels AI is an AI-powered school management system and mobile app for K–12 institutions in India. The data fiduciary / controller for personal data processed through our products is:

When a school or trust subscribes to SchoolWheels AI, that institution typically acts as the primary data fiduciary for student, parent, and staff records it uploads or creates. We process that data as a data processor / service provider under the school’s instructions and our agreement with them.

2. Scope

This Privacy Policy applies to:

  • Our website at schoolwheels.ai
  • The SchoolWheels AI mobile applications for Android and iOS
  • Web dashboards, APIs, and related services used by schools, staff, parents, and students
  • Demo and sales forms (including submissions sent to help@qeotek.in)

3. Data we collect

3.1 Account & profile data

Name, email, phone number, role (principal, teacher, parent, student, admin), school/trust affiliation, login credentials or SSO identifiers, and profile photo if provided.

3.2 School operations data

Depending on modules enabled by the school: admissions, attendance, fees and payments metadata, exams and grades, timetable, transport routes and stop assignments, library, hostel, inventory, communications, and similar ERP records.

3.3 Device & usage data

App version, device type/OS, IP address, approximate location (if permission is granted—for example for transport or security features), crash logs, and in-app activity needed to operate and improve the service.

3.4 Optional biometrics / camera

If a school enables AI attendance (face or QR), biometric templates or images may be processed only with school-configured consent and settings. On-device processing may be used where configured. We do not sell biometric data.

3.5 Marketing website

When you book a demo or contact us: name, school, role, email, phone, and message content. We may also collect standard web logs and cookie-related data (see Cookies).

4. How we use data

  • Provide, secure, and support the SchoolWheels AI platform and mobile apps
  • Authenticate users and enforce role-based access
  • Run school workflows (attendance, fees, exams, transport, parent messaging, etc.)
  • Power AI features (insights, predictions, grading assistance, bots) with explainability and audit controls where enabled
  • Respond to support, sales, and compliance requests
  • Improve reliability, performance, and product quality (including aggregated analytics)
  • Meet legal, regulatory, and contractual obligations

We do not sell personal data. We do not use student data for unrelated third-party advertising.

We process personal data in line with India’s Digital Personal Data Protection Act, 2023 (DPDP Act) principles and applicable education and contractual requirements, including:

  • Consent where required (including parental/guardian consent for children’s data, as applicable)
  • Legitimate uses for providing the contracted school service, employment/staff administration, and security
  • Compliance with law and lawful requests from competent authorities

6. Children & student data

SchoolWheels AI is designed for schools. Student data—including data about children under 18—is processed primarily on behalf of the subscribing school. Schools are responsible for obtaining any required parental/guardian consents and for configuring access roles appropriately. Parents/guardians should contact their school first for most student-record requests; we will assist schools in fulfilling verified requests.

7. Sharing

We may share personal data only with:

  • The school/trust that administers your account and campus records
  • Service providers (hosting, email delivery, analytics, payment gateways, crash reporting) under confidentiality and processing terms
  • Authorities when required by applicable law
  • Professional advisors under confidentiality (legal, audit) where necessary

8. Retention

We retain personal data for as long as needed to provide the service, meet school retention policies, resolve disputes, and comply with law. When a school ends its subscription, we follow the contract’s deletion/export timeline. Marketing-form enquiries are retained only as long as needed for sales follow-up unless a longer retention is required.

9. Security

We use administrative, technical, and organisational measures appropriate to the sensitivity of education data—including access controls, encryption in transit, logging, and role-based permissions. No method of transmission or storage is 100% secure; please use strong passwords and protect device access.

10. Your rights

Subject to applicable law and the school’s role as data fiduciary, you may request:

  • Access to personal data we hold about you
  • Correction of inaccurate data
  • Erasure / deletion (see Account deletion)
  • Withdrawal of consent where processing is consent-based
  • Grievance redressal via the contact below

School-managed records are usually handled through your institution’s admin. App users can also email help@qeotek.in.

11. Account & data deletion

To request deletion of your SchoolWheels AI account and associated personal data, follow the steps on our Delete Account page, or email help@qeotek.in with the subject “Account deletion request”. We will verify identity and process the request within a reasonable period, subject to legal retention and school-administrator requirements for institutional records.

12. International transfers

We aim to host and process school data in India where contractually agreed. If limited processing occurs outside India (for example through a global subprocessors for email or crash tools), we take appropriate contractual and security steps.

13. Cookies & similar technologies

Our marketing site may use essential cookies and similar technologies for security, preferences, and basic analytics. You can control cookies through your browser settings. The mobile app may use local storage and device identifiers needed for login and push notifications (if enabled).

14. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Material changes will be highlighted on this page or communicated through the app or school administrators where appropriate.
